Standard Terms & Conditions

1. Registration

Registration is complete once Wild Eye Destinations and Photographic has received an initial, non-refundable, deposit of 50% (or 35% if related to a trip more than 18 months from booking) of the package price along with a booking form. Please note that all reservations are binding. The balance of the package price is payable 60 days before departure. In the event of a booking being made within two months of departure, the full package fee is payable within five working days.

Provisional bookings can be held for 14 days only, pending receipt of a deposit to secure the booking.

By registering for the tour with Wild Eye Destinations and Photographic you confirm the following:

During the Tour, you behave in a way that is not disruptive, upsetting, or dangerous to you or anyone else and must follow the reasonable requests of the Wild Eye Tour leader. Wild Eye will be able to terminate your participation on the Tour if your behaviour is believed to be in breach of this obligation and in such circumstances Wild Eye will have no further liability to you.

2. Payment terms

The date of your deposit payment is due no later than two weeks post the completion of a provisional booking form. Failure to pay deposit within this period could result in cancellation. The balance payment will be due due no later than 60 days before the start date of the departure, after which penalty charges may apply.

*Please note, Amex and Diners credit cards will attract an additional 2% surcharge, and the same will reflect upon invoicing. Visa and Mastercard remain at no additional charge.

3. Cancellation and Refund Policy

Cancellations are only effective upon receipt of written notification. If cancellation occurs prior to 60 days before departure, the deposit value will be held on credit (non-refundable). If cancellation occurs within 60 days of tour departure, charges will be levied, the scale of which expressed as a percentage of the tour price, as follows:

More than 60 days’ notice: Deposit non-refundable. Held on credit.
Less than 60 days’ notice:  Deposit value plus additional 30% surcharge levied.
Less than 4 weeks’ notice: 100% of tour price payable.

Should you fail to join a tour, join after the start date, or depart prior to its scheduled completion, no refunds will be made, and guests are encouraged to claim from travel insurance policies.

Please take note, if you have booked on a customised / bespoke travel itinerary on either a private guided, or general travel basis, against which the trip has been confirmed and suppliers paid in order to secure preferential rates, private vehicles, guide requests etc, you will not be able to cancel your booking, nor will funds be transferred to another tour offering, unless a replacement for the tour has been confirmed, and their associated deposit payment received. Whilst Wild Eye will endeavour to assist with finding a suitable replacement, the responsibility for finding this replacement will ultimately fall on the departing guest.

The above policies apply to all services rendered by Wild Eye Destinations & Photographic Pty Ltd. However, third-party camps, lodges or hotels may have different cancellation fees and policies, which apply only to their services, and would be dealt with on a case by case basis.

4. Insurance

A Wild Eye booking condition is that you accept the hazards involved in visiting remote wildlife areas and engaging in potentially dangerous activities.

To take part in one of our Scheduled Tours, Private Guided trips or Custom Tour packages, you must be covered by adequate travel insurance for the duration of the tour and all activities undertaken.  The insurance should cover cancellation curtailment, interruption insurance, medical and emergency expenses (including repatriation), personal accident, injury, and death.  In addition, you should be insured against loss / damage to baggage, camera equipment, personal possessions, flight delays and cancellations for any reason.

5. Insurance Indemnity

Wild Eye does not accept liability for death, injury or illness unless this arises from the negligent acts of Wild Eye employees.  Wild Eye and its employees are covered by public liability insurance, covered by Lloyds Insurance, London, UK up to a maximum of ZAR 50,000,000 for any one event.

By filling in your booking form you acknowledge that Wild Eye has taken all reasonable steps to safeguard its liability in this respect.

6. Medical Information

Participation on a Wild Eye Destinations and Photographic tour requires that you are in generally good health. It is essential that persons with any medical problems and related dietary restrictions make them known to Wild Eye Logistics team before departure. We can counsel you on whether the tour you have selected is appropriate for you. The tour leader has the right to disqualify any participant at any time during the tour if he/she feels the participant is physically incapable and/or if a participant’s continued participation will jeopardise either the individual involved or the safety of the group.

There will be no refund given under these circumstances. By completing the booking form, the participant certifies that he/she does not have any mental, physical or other condition or disability that would create a hazard for him/herself or other guests.

7. Price Modifications

Wild Eye Destinations and Photographic reserves the right to increase the price of a safari / tour if cost increases arise due to changes in reserve park fees and conservation levies, transportation costs, taxes, customs or other fees, including fluctuations in exchange rates. Our office will notify guests of any changes to such costs immediately.

8. Itinerary Changes and Trip Delay

Wild Eye Destinations and Photographic reserves the right to change a tour’s dates, itinerary, allocated photographic guide or accommodations as conditions warrant. These are expeditions to remote parts of the world, and we reserve the right to change the itinerary due to weather conditions, lodge availability, political conditions, and other factors beyond our control without consulting the participants.

It is understood that such decisions will be made in the best interests of all participants and with regards to the safety of all staff. Participants have no right to any refund or other considerations in the event of these inevitable itinerary changes. If an expedition must be delayed, or the itinerary changed due to bad weather, road conditions, transportation delays, government intervention, sickness or other contingency for which Wild Eye Destinations and Photographic or its agents cannot make provision, the cost of delays or changes is not included.

9. Itinerary Cancellations

Wild Eye Destinations and Photographic reserves the right to cancel an itinerary before departure for reasons of logistics, or too few participants. A decision will be made at 60 days prior to departure before final payments are due by the guest to Wild Eye.

All tour payments received will be promptly refunded, and this refund will be the limit of Wild Eye Destinations and Photographic’s liability. This refund clause excludes all force majeure probabilities or acts of God.

Wild Eye Destinations and Photographic is not responsible for any expenses incurred by trip members in preparing for the trip, including non-refundable or penalty-carrying airline tickets, special clothing, visa or passport fees or other trip related expenses.

10. Limitations and Liability

Wild Eye Destinations and Photographic, its owners, agents and employees give notice that they act only as the agents for the owners, contractors and suppliers providing means of transportation and/or all other related travel services and assume no responsibility howsoever caused for injury, loss or damage to person or property in connection with any service resulting directly from: acts of God, detention, annoyance, delays, expenses arising from quarantine, strikes, thefts, pilferage, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations and discrepancies or changes in transit or hotel services over which it has no control. Reasonable changes in the itinerary may be made where deemed advisable for the comfort and well-being of the passengers.

In case of a medical problem arising during the expedition, which results in costs for evacuation, use of aircraft or repatriation, the responsibility for payment of these costs belongs solely to the passenger. Wild Eye Destinations and Photographic strongly advises that participants ensure that such eventualities are covered by travel insurance. If not covered by travel insurance the responsibility still remains with the passenger and Wild Eye Destinations and Photographic specifically declines any responsibility whatsoever.

11. COVID – 19 Postponement Policy

All credit values held by Wild Eye for trips not taken in 2020 and 2021 as a result of Covid-19 will need to be allocated against new safaris by no later than the 1st of March 2023, for travel extending no later than 1 March 2024.

No additional Covid postponements will be accommodated thereafter.

12. Additional Note

Inclusive airport/hotel transfers specified in the itinerary costs are only included when guests travel on the flight suggested by Wild Eye. Guests arriving or departing on different flights will be responsible for their own transfer costs unless specifically confirmed by our logistics team.
